Eresources that require mediation

ProQuest LibCentral DDA  

Memorial Library has access to many ProQuest Ebook Central books via our GALILEO membership or through previous purchase; other books are available through an arrangement known as Demand Driven Acquisitions (DDA) and may require users to request access from the library before they can view the book for more than 5 minutes. 

LibCentral requests - expectations 

  • Requests go to the LibCentral administrative dashboard for library approval.  
  • Email notifications of new requests are sent to eresources@berry.edu and libacq@berry.edu. 
  • The designated primary responder is expected to act on new requests within one business day. 
  • The designated primary responder is expected to confirm that the back-up responder is aware of their absence or other inability to act on requests in a timely manner. 

LibCentral requests – procedure 

  • Use one of the admin accounts to log in to the LibCentral dashboard to review requests (go to Collections, then Patron Requests). 
  • Click on Pending to see the details of the request. 
  • Look for clues that more information is needed before approving the request, for example: 
  1. Patron comments that suggest multiple users will be needed. Check to see if a multiple user copy is available. Email the requestor to determine the best solution. Be sure to mention any extreme limitations to print/copy. If multiple user options are available, select the least expensive license that will meet needs. If only a single-user option is available, consult with the liaison librarian about buying multiple copies. 
  2. Indication that we already own LibCentral copies. The full record indicates whether other copies are owned. Unless it is an unusual situation, we do not buy duplicate copies. Email with the requestor to explain and try to determine whether there is a class assignment we were unaware of. Consult the faculty member, if known, and/or the liaison librarian. 
  3. Indication that we own print or ebook copies from other vendors. Unless it is an unusual situation, we do not buy duplicate copies. Email with the requestor to determine whether they know about the other copies and, if so, why they may not be acceptable. Reasons to add a duplicate copy might be because of functionality or the availability of a different edition. We would not add a duplicate ebook simply because the requestor likes one platform better than another. If we already have print, adding inexpensive ebook licenses is acceptable once you have verified that the requestor knows print is available. 

  • ProQuest LibCentral purchases are added to Memorial Library holdings on WMS Knowledge Base through an automated process. New records upload every Thursday evening. 

Swank Digital Campus

Swank Digital Campus 

Swank Digital Campus offers streaming access to classic and contemporary feature films. This is a mediated collection. Instructors must create an account and request activation of a film before use. 

 Swank requires a course number and "academic purpose" for every initial license, but once a film is licensed it can be viewed/used by any student, faculty or staff member, or visitor to the library. Promoting the availability of individual movies must be limited to library platforms, Canvas and "typical classroom announcements." 

 

Film licensing requests - expectations 

  • Film licensing requests go to the Swank administrative dashboard for library approval.

Film licensing requests – procedure 

  • Use one of the admin accounts to log in to the Swank Digital Campus dashboard to review requests. 
  • Check the availability of the film requested via the library's other streaming video services (Films on Demand, Kanopy). 
  • If the film is only available via Swank 
    • Approve the request – the Swank system will notify the requestor when the film is available. 
    • Verify that Swank has approved the license. Swank will send a verification email to the administrators. If no verification notification is received in 3 business days, follow up with Swank and notify the requestor that there seems to be a delay.  
  • If the film is available via Films on Demand or Kanopy (this is rare) 
    • Consult with the requestor about whether the available format will be acceptable.  Include a link to the alternate location to ensure that the requestor can review the available version of the film. 
    • If yes, deny the Swank request. 
    • If no, find out what the requestor's concerns are. If Swank offers functionality or film quality not available from the other vendor, approve the Swank request. If the requestor has other reasons, discuss the request with the appropriate liaison librarian. 

Adding to films to WMS Collection Manager – procedure 

  • Films must be manually added to WMS Collection Manager.

License expiration – procedure 

  • Email notifications of expiring license are sent to the requestor, eresources@berry.edu and libacq@berry.edu. 
  • If the original requestor does not place a renewal request within a week of the notification, follow up.  
  • The notification does not include the requestors name. Go to the admin dashboard, select Title Requests from the left navigation panel, select Delivered and look for the film. 
  • Keep a record of the conversation with the requestor for future reference.
